Organize Your Documents Before the Next Grant Opportunity
Organize nonprofit governance, financial, and program documents before a grant opportunity, while checking each funder's specific requirements.
What should you gather before applying?
Create an inventory of the records funders may request, such as your determination letter, governing documents, board roster, recent financial information, and program descriptions. Requirements vary, so treat this as a starting point rather than a universal application checklist.
Read each funder's eligibility rules and application instructions before investing time in a proposal. Confirm which records are required, how current they must be, and who is authorized to submit them.
How can you reduce last-minute document searches?
Store approved versions in a consistent, access-controlled location. For each record, note the owner, last review date, and next update needed. Keep drafts separate from final documents to reduce the risk of submitting an outdated version.
Ask finance, program, and leadership colleagues to review information that falls within their responsibilities. Share sensitive records only through an appropriate channel and only when the recipient actually needs them.
How should you respond to gaps?
Turn missing or outdated records into specific actions with an owner and target date. Prioritize gaps that affect eligibility or require board approval, and be candid about what your organization can provide.
Nonprofit Compass™ can help organize compliance task notes and document references as part of this preparation. It is not a grant-management system and does not guarantee eligibility, a stronger application, or funding. Seek qualified advice when a requirement is unclear.
